CFI needed to update their legacy document management system as part of their digital transformation. Before deploying KnowledgeLake, CFI was drowning in invoices, bills of lading, statements and HR and workers’ compensation documents that were spread across their organization.

As a major transportation services provider, CFI’s business processes are very paper-intensive. The company’s finance, HR and transportation safety departments constantly process invoices, bills of lading, freight bills, driver onboarding and workers’ compensation documents. The workflow involved—keying in data, managing submissions and approvals, and organizing documents in various systems—eats up precious human capital.

To complicate matters, CFI was steadily growing as it acquired other companies, leading to an increase in the volume of documents coming into and out of the organization, as well as the number of disparate legacy document management systems. With every acquisition, CFI inherited another. As a result, documents lived in multiple systems, resulting in unnecessary risk and cost.

To tackle this complexity and achieve greater organizational efficiency, CFI developed a strategy to move from an on-premises IT environment to the cloud. Updating legacy document management systems would be part of CFI’s digital transformation journey.

“We have a strategic direction to move more and more to the cloud,” said Tom Anderson, Vice President of Information Technology at CFI. “It does two things for us: it decreases our data center footprint which lowers the number of staff we have to have in place to manage that. It also reduces our risk relative to those environments.”

CFI talked to KnowledgeLake about embracing a single, standardized platform that would automate document-heavy business processes and allow the company to implement document retention policies. All without forcing them to rip and replace existing business applications.

“When drivers deliver freight, they have proof of delivery documents that have to be automated and oftentimes we’re unable to bill our customers without that documentation,” said Anderson. “Being able to automate that allows us to get from order to cash much more quickly. And then we’re able to take those people and capitalize on their skills someplace else.”

Automation has also helped CFI focus on its goal of reducing errors in invoices and the billing process. This drives efficiencies in their business overall.

“The paperwork automation will help with [the errors], but more importantly, it frees up people to make sure they focus on the right tasks to ensure accuracy in billing,” says Anderson.

The KnowledgeLake Cloud allowed CFI to move companies it acquired into a single IT environment. Since deploying the KnowledgeLake Cloud, CFI has migrated nine million documents into the system, with 16 million documents expected to be migrated by the end of 2020.

“We could have gone a different direction as far as cloud repositories go but the fact of the matter is that we have a strong relationship with Microsoft,” says Anderson. “If we need resources to help expand our footprint in the cloud, they’re available for us.”
